The Research Committee has authorized the Graduate School to continue to provide funds to cover tuition shortfalls on NIH training grants in the upcoming fiscal year. As you are aware shortfalls result from the formula by which NIH provides tuition reimbursement from training grants. The procedures for requesting these funds are detailed below.
Procedures for requesting funds to cover tuition shortfalls:
-
Continue to charge 100% of the tuition costs for your trainees to the grant.
-
At the end of each grant year, or when the final tuition charges have been made (but no later than 75 days after the grant year end date), determine the total amount of stipend, fringe, tuition and fees that have been obligated for appointments made in the current grant year, but have not yet been paid. A memo requesting carry over of this amount to the next grant year (see example carryover request) should be sent to the Office of Research and Sponsored Programs (RSP). Please note: you are responsible for determining the shortfall amount in coordination with RSP; Graduate School will not resolve carryover and accounting issues.
-
The shortfall in the tuition, fees and health insurance category, and the amount that can be rebudgeted from other categories, will be calculated by RSP staff, and they will send you a spreadsheet showing the resulting adjustment needed.
- Confirm the amount calculated by RSP, then complete a Request for Graduate School Supplemental Funds and send it to Petra Schroeder at 317 Bascom Hall. Petra will work with RSP to arrange for the tuition shortfall to be transferred to Graduate School funds.
If you have any questions about these procedures, please contact Petra Schroeder at 265-4868 or pschroeder@bascom.wisc.edu.
